Scoping the R&R workbook

The chapters and their counts, the columns, the criteria that decide whether a row applies, the In Scope column, and the seven packages.

Foundations · 15 minutes · 5 questions

For: Ledger Architects and Orchestrators preparing a proposal; the customer’s project lead reviewing one.

The workbook is a catalogue, not a to-do list. 237 tasks across nine chapters — 118 Standard, 26 Optional, 13 Additional, 29 Packaged, 51 Excluded — and not every row applies to every customer. Scoping it is part of the proposal, and the scoped copy travels with the order form.

Reading an identifier

TO_4.10.03 is chapter D’s prefix (TO), section 4.10 (Live DR), task 03 (the planned switchover drill). Identifiers are stable across versions and are the ones quoted in the service portal and the order form — so quote the identifier, not the wording.

Does this row apply? The criteria columns

Special Services, Module, Cloud Provider and Continuity Pattern each hold * for every deployment, or ONLY:… for the deployments a task applies to — ONLY:Site-to-site VPN, ONLY:Customer-owned cloud account, ONLY:EHR,Student Lifecycle,HRMS, ONLY:Live DR,Live DR Premium, and so on. Filter on them before the customer sees the workbook.

An Optional task can switch Standard ones on. Setting up the Live DR region (TO_4.10.02) is Optional; once it is contracted, continuous verification, the quarterly drill and automatic failover (TO_4.10.01, 4.10.03, 4.10.07) meet their Continuity Pattern criterion and are Standard.

The amber In Scope column

  1. Standard and Excluded rows default to Y. Leave them, unless a criteria column rules the row out for this deployment.
  2. Decide every Optional, Additional and Packaged row with the customer — the Summary counts these as open decisions, 68 in the blank workbook.
  3. Packaged rows follow the Packages tab: contracted means TRANXACT delivers; not contracted means the customer does.
  4. Read the Summary back: in scope and open decisions per chapter update from the column.

Task descriptions cover doing the task, never extra capacity. More compute, storage or network is always a change request with its own fee — packages included.

Calderwood Group — the worked example

Calderwood: Live DR, a site-to-site VPN, no customer-managed keys, no regulated modules, a TRANXACT-hosted account. So the VPN rows and the Live DR rows are in; the Customer-managed keys, Customer-owned account, Regulated industry and Private connection rows are filtered out before the workbook is shared.

Try it INFRA_2.2.04 — site-to-site VPN tunnels to the Live DR region — carries ONLY:Site-to-site VPN and ONLY:Live DR,Live DR Premium. Does it apply to Calderwood, and in which category?

Yes: Calderwood has both a VPN and Live DR, so both criteria are met. It is Optional, ordered by change request — so it must be itemised, typically as the second VPN connection on the bill of materials.
